Project Coordinator
Overview
We are a strategic consulting firm dedicated to improving the operations and growth of construction companies. To have a genuinely successful client consulting engagement, Well Built must follow through with our promised scope above client expectations, and the client must follow through on their commitments above their expectations.
We're excited to be expanding our team, and specifically our Project Management team in seeking a Project Coordinator! The Project Coordinator will play a crucial role in ensuring the smooth execution of client-facing projects by supporting Project Managers (PMs) and Senior Project Managers (SPMs). This position focuses on handling the administrative and operational aspects of project management, enabling PMs and SPMs to concentrate on higher-level strategy and execution. The ideal candidate will be highly organized, extremely detail oriented, responsive, and adept at managing timelines,_ communication, and project-related systems.
Top Responsibilities and KPIs
Assist in Project Scheduling: Create, update, and manage project timelines to ensure deadlines are met (KPI: 100% schedule accuracy and updates looking 2 weeks ahead).
Meeting Coordination: Schedule, organize, and document client meetings and project team discussions (KPI: No more than 2% scheduling conflicts).
Communication Management: Ensure client queries and requests directed and assigned to you are responded to within a 24-hour period (KPI: 95%+ client response within 24 hours).
Project Management System Oversight: Update and maintain accurate project records, timelines, scopes, and tasks in the project management system (KPI: 100% data accuracy).
Administrative Support: Prepare high-quality PowerPoint presentations and project documentation, as needed (KPI: Timely and error-free deliverables).
Status Reporting: Assist in generating and distributing weekly project status reports to internal teams that we can utilize in client update calls (KPI: Timely, consistent reporting).
Day-to-Day Duties
Scheduling meetings between clients and the project team.
Daily monitoring and completion of project tasks and schedules.
Updating project management software, Teamwork, with new milestones and tasks.
Collaborating with Project Managers to gather necessary information for client updates.
Ensuring compliance with client response time and communication standards.
Conducting administrative tasks such as preparing agendas and taking meeting minutes.
Assisting in the creation of PowerPoint presentations, reports, and other client-facing materials, as needed.
Qualifications and Experience
Education: Bachelor's degree in business administration, Project Management, Construction Management, or a related field.
Experience: 0-2 years in project management, preferably in consulting or professional services industry, not product development industries.
Technical Skills: Understanding of how to use a project management system (e.g., Teamwork, Asana, Trello, etc). Strong MS Office and Outlook, especially in PowerPoint and Excel. Familiarity with Gantt charts, timelines, and scheduling tools.
Soft Skills: Exceptional time management and organizational skills. Strong professional verbal and written communication abilities. Detail-oriented with a commitment to accuracy. Ability to professionally communicate with clients directly. Ability to work independently and as part of a team.
Preferred Experience
Previous experience in the consulting industry, specifically having managed more than 15-20 different projects at once.
Benefits & Compensation
$50,000-$60,000 base salary commensurate with experience
Bonus compensation of up to 20% of base salary dependent upon company revenue performance
