Project Manager

Overview

The Project Manager (PM) is responsible for ensuring successful execution of client consulting engagements by driving project follow-through, maintaining proactive communication, and managing real-time progress. This role bridges the gap between Well Built’s consulting teams and clients, ensuring all parties meet their commitments and achieve their desired outcomes. The PM plays a crucial role in scheduling, resource coordination, and delivering high-quality client materials that enhance engagement success. Please note: we are looking for someone who is willing and able to work EST hours in a fully remote capacity.

Key Responsibility Areas (KRAs)

1. Project Planning & Execution

Outcome: Client projects are structured and executed effectively within agreed timelines with minimal or no delays.

KPIs:

  • Newly assigned projects are in PM system with associated timelines and resources within 2 days of receiving the assignment.

  • Completion or time logged to 30-40 tasks in PM system per day.

  • Client retention = 90%

  • Maintaining 80% billable utilization

Tasks:

  • Work with SPMs to develop and manage project plans, action plans, and timelines.

  • Collaborate with consultants to translate client needs into project plans.

  • Schedule and coordinate meetings between clients, Well Built resources, and subcontractors.

  • Complete all assigned tasks within the PM system, including scheduling, meeting agenda/notes development, action items updates, etc.

  • Monitor and adjust project workflows to ensure timely execution.

  • Maintain regular, proactive communication with clients to assess needs and expectations within guidelines of client communication standards. (suggested: work with the Senior Project Manager to develop a client check in cadence).

2. Resource and Budget Management of Assigned Projects

Outcome: Company and client resources are effectively allocated to maximize efficiency and projects, on average have a $375/hr Yield and 70% Gross Profit.

KPIs

  • Projects managed average Yield and Gross Profit targets.

  • Projects managed are on target budget.

  • Low margin or overbudget projects are communicated about with AM and PM teams to ensure visibility. In conjunction with our value of Commitment to Results, we are okay with low margin and low yield projects as long as we’re internally aware and are discussing potential solutions.

Tasks:

  • Review time tracked on projects managed for accuracy of billable vs non-billable.

  • Review profit report in PM system to ensure successful project margins.

  • Communicate with Account Managers to ensure project success.

  • Report project budgets and financials to Leadership Team.

Skills & Experience

Education: Bachelor’s degree in a related field. If no professional experience, please apply if you have a degree in business, project, and operations management, including supply chain management, customer service, and related fields.

Experience:

  • 1-3 years of experience in project management for a professional services firm, administrative positions, and/or coordination in a construction. This is a PM position for a professional services company, not a construction company.

  • Proven ability to manage multiple projects and coordinate stakeholders.

Technical Skills:

  • Proficiency in project management software (Teamwork, Asana, Smartsheet, etc.).

  • Strong organizational, communication, and reporting skills.

Soft Skills:

  • Excellent problem-solving and adaptability.

  • Ability to work independently while maintaining strong collaboration with teams.

Compensation & Benefits

  • Compensation: Dependent upon experience, starting at $55K

  • 20% of salary bonus based on hitting company performance goals
